This policy explains how the LEARNSTAY housing office treats personal information. It is intentionally thorough, written to respect and protect every person who uses the services.

This Privacy Policy explains how the LEARNSTAY study stay website and the student housing services behind it handle personal information. It was written to be clear and honest, so that any student, parent, landlord or host family can understand what the service collects, why it collects it and what choices belong to the people who use it.

The services described on this website, including verified housing listings, semester sublet matching, homestay programs, move in support, study space access and deposit protection, are developed and operated by the developer LearnStay. Throughout this policy, the words LearnStay and the office both refer to the developer and its operating company that together run these services.

SECTION 02

Scope of this policy

This policy applies whenever you visit this website, send an enquiry through the contact page, book a viewing, sign a housing file, or otherwise use any service or feature that the office offers. It also applies to messages the office exchanges with you by email, by telephone or through the contact form.

The policy does not apply to sites, buildings or services run by third parties, even when the office provides a link to them or helps you sign an agreement that belongs to a landlord you were introduced to.

The natural person behind this project is the developer LearnStay, and the operating company that runs daily business is Changchun Xueliu Technology Co., Ltd. For the purposes of data protection laws in the places where students come from, the operating company acts as the controller of the personal information described in this policy. Where a service request is handled by a partner, such as a landlord or a host family, the office remains your single point of contact and will only share what is required to complete the housing service you asked for.

SECTION 04

Information we collect

The information the office collects falls into a few clear groups, and each group exists for a concrete reason that relates directly to arranging your housing.

Contact and identity information includes your name, telephone number and email address, together with any details you choose to add when you write a message. This is needed so the office can reply, confirm viewings and keep your file separate from someone else file.

Enrolment and stay details include your campus or institution, your course dates, your arrival and departure dates, your housing budget and your preference for a solo room, a shared flat or a host family. This lets the office shortlist rooms that genuinely match your term rather than every available bed in the city.

Verification information, which you provide only when you decide to proceed, includes a copy of your passport or national identity document and proof that you are a current student. What we do not collect

The office does not collect sensitive data about your health, your race or your religious beliefs, because none of that is needed to place a student in a room. If you choose to share such details in a free text message, the office keeps the message confidential and stores nothing separate about those details.

The office does not ask for your bank login, your credit card number or your government tax number over email or on this website. Anyone who asks for those details while claiming to be the office should be treated with caution, and you should report such a request immediately to route@learnstay.hair.

The office does not track your location through your device, and it does not read messages that are not actively part of a housing file.

Legal bases for processing

In places where the General Data Protection Regulation applies to the office business, each form of processing rests on a recognised legal basis.

Consent covers the situations where the office sends updates that you have agreed to receive, following your instructions without any pressure. You may withdraw that consent at any time by contacting the office, and withdrawal does not affect the legality of what was done before.

Performance of a contract covers most housing work, because placing a student in a verified room requires the office to process the enrolment details and identity records that the agreement depends upon.

Legitimate interests cover the cautious and limited use of technical logs to keep the website secure and to improve the housing service, as long as that use does not override the rights of the people concerned. Legal obligation covers keeping certain records where the law of a relevant jurisdiction requires the office to keep them.

In other jurisdictions where these specific legal bases are not named by local law, the office still applies the same cautious spirit, collecting no more than is needed and keeping that small amount only as long as necessary.

Data security

The office keeps personal information behind controls that match the sensitivity of the data. Files are held in restricted storage, access to any file is limited to the staff member who handles that student account, and written agreements with landlords are stored as hard copies in a locked cabinet at the office.

Passwords, where any are used, follow a policy of length and uniqueness, and the office never stores a plan text password for a school account it does not own.

No security system is absolute. If a breach ever occurs that affects a student right, the office will tell the affected people promptly, describe what happened and explain the steps being taken to limit the harm. Honest reporting matters more to the office than protecting its own image.

SECTION 13

Retention of information

Information is kept only as long as it serves a real purpose, then removed or anonymised. Enquiry messages that do not lead to a booking are deleted once the correspondence is closed or after twelve months, whichever comes first for practical reasons.

Housing files, including identity and enrolment records, are kept for the duration of the stay plus a sensible period afterwards to cover the return of a deposit, a warranty question about a fixture or a lawful request from a regulator. After that period the file is deleted or turned into a version with all personal identifiers removed.

Technical logs are kept for the shortest window needed to detect a security problem, normally a few months, and are then discarded automatically.

You can ask the office to delete information sooner through the contact route described near the end of this policy, and the office will erase what the law allows it to erase.

SECTION 14

Your privacy rights

Privacy for children

The student housing services are meant for people who are enrolled in higher education and who are at least eighteen years of age. The office does not knowingly collect personal information from children below that age.

If a parent or guardian believes that a child has provided personal information to the office by mistake, they should contact the office at route@learnstay.hair. The office will delete that information promptly unless the law requires it to be kept for another reason.

Because a housing agreement must normally be signed by an adult anyway, matters that involve anyone below the age of legal capacity are handled together with a parent or legal guardian who gives clear consent on the record.

This website may point toward useful third party resources, such as a transport timetable, a campus map or a government enrolment page. The office has no control over those outside pages and this policy does not cover how those organisations treat your information.

Before you share information on any third party page, read that page own notice and decide what you are comfortable giving. Where a page is provided by a landlord that the office introduced, the lease you sign governs that relationship, and the office still remains your point of contact for practical questions during the stay.

SECTION 17

Changes to this policy

This policy can change as the services, the law or the technology that supports the office evolves. The date at the foot of this page shows when the policy was last updated.

When a change is meaningful, the office will announce it clearly, either by a note on this page or in a message to students with an open housing file. Continued use of the services after the new date means you accept the updated version, so a returning student should glance at the effective date before relying on an old printed copy.
